How to Prepare for a School Assembly Presenter

How do you prepare for a school assembly presenter? If this is your first time booking one, it can feel like there's a hundred little things you're supposed to already know, and nobody hands you a list. I get it, that's overwhelming when all you want is for the day to go smoothly for your students and staff. So let's fix that.

Step One

Before You Book

• Confirm your venue. Gym, auditorium, or cafeteria, know which one, and make sure it's reserved for your date.
• Check your school calendar. Avoid testing weeks, holidays, and other big events competing for the same day.
• Decide how many shows you need. A single elementary school assembly may only need one show. Larger schools often split by grade level (say, K-2 and 3-6) into two back-to-back shows.
• Ask about technical requirements early. Does the presenter bring their own sound system, or do you need to provide one? Do they need a projector, table, or access to electricity?

Step Two

In the Weeks Leading Up

• Confirm timing. Elementary assemblies typically run 30-45 minutes; older students can usually sustain 60-75 minutes if the program stays engaging.
• Communicate with staff and families early. Send an initial notice a couple of weeks out, a reminder the week before, and a final note a few days ahead.
• Ask what the presenter needs on arrival. Load-in time, sound check, and any special seating considerations (for example, some students with sensory sensitivities may need seating away from speakers).

Step Three

The Day Of

• Have someone ready to greet the presenter and show them the space.
• Confirm who's introducing the presenter, and give them a couple of sentences to work with.
• Have a plan for transitions, how students move in and out of the space, especially for multi-show days.

One thing I've learned doing my own assemblies: the schools that have the smoothest day are almost never the ones with the fanciest tech setup, they're the ones who've simply walked through the timeline once with their staff beforehand. Step Four

After the Assembly

• Ask teachers and students what they thought, and pass that along to whoever books next year.
• Follow up with the presenter if you'd like classroom materials or a way to reinforce the message afterward.
