Cheap School Assemblies: How to Book Something Great on a Tight Budget

I know. You don't mean "cheap" school assemblies. You still want something with quality, just not the bloated price tag that eats into your budget like a starving badger who's been on a diet for 6 months. Your kids deserve a fun, high quality assembly that educates, entertains, and inspires without breaking the bank. So how do you find one?

Well, look no further than this guide, because lucky you, you HAVE found an assembly presenter (but whether I'm one that fits the bill is another story). I'm Kristen, The Confidence Cowgirl, but I'm actually here to share my own insider tips on how to find funding for your assembly, as well as find genuinely great presenters who are great for your students while also making your budget happy (and badger free).

Where to Find the Hidden Gem Presenters

Local talent is often the best-kept secret in assembly budgets. Here are a few types of "hidden gems" worth looking into, and why each one can be a great fit:

• Local authors. They bring literacy-focused programs that pair naturally with reading initiatives your school is likely already running, often at a fraction of a national touring rate.
• Local musicians. Great for high-energy assemblies with a music education angle built right in, and community rates tend to be a lot friendlier than touring acts.
• Local performers. Jugglers, acrobats, actors, and variety entertainers can bring a big "wow" factor without the big price tag.
• Magicians. They hold attention exceptionally well, especially with younger grades, and often cost less since they don't need much in the way of staging or setup.
• Local Toastmasters. Toastmasters clubs are full of trained public speakers, and some members offer free or low-cost presentations, especially on communication and confidence topics that work well for older grades.

One caveat worth knowing: local talent can be a bit of a gamble. Someone can be genuinely great at their craft, singing, magic, writing, whatever it is, without necessarily knowing how to manage a room full of squirmy kids or hold their attention the way a seasoned assembly presenter does. That's the trade-off you're making for a lower price. You might luck out and find a hidden gem. You might also get exactly what you paid for.

Ask Each Presenter About a Split Cost

This is something I've seen many other presenters offer, and I've loved offering it myself. Think of it as a referral program: you help the presenter connect with other schools in your area so they can deliver multiple assemblies while they're already in town. In exchange, you and every school who participates gets each assembly for a discount. Talk about a win-win!

Check Your PTA/PTO Budget First

You probably already know this one, but assemblies are one of the most common things PTA/PTO funds are earmarked for. If you haven't already asked, ask.

Community Support

Kiwanis, Lions, or Rotary Club Sponsorships

These organizations are located all over Utah, as well as nationally, and they love opportunities to support local schools (Kiwanis especially). It never hurts to reach out and see if they have funding earmarked that could cover your assembly goals.

Reach Out to Other Nonprofit Educational Outreach Programs

This one in particular is near and dear to my heart, because working with the Cache Valley Cowboy Rendezvous Educational Outreach Program was how I got my start as an assembly presenter, and seeing programs like this one provide free assemblies to schools to make a difference is what drove me to get into the business. You'd be amazed how many different nonprofits are out there looking for ways to support. And if you find one with the right mission and the right program to support your assembly goals, you'll be one step closer to an affordable, possibly even free, assembly.

Ask About Grant and Title I Funding

Many schools don't realize Title I funds and district professional development or SEL budgets can sometimes be used to bring in outside speakers, especially if the program ties to character education, resilience, or anti-bullying goals. Your district office can tell you what's allowed. And for the record, I offer a discount for Title I schools myself, just reach out and mention your school's status.

Double Up

Team Up With Another School to Bring in a Presenter for a Combined Group

This is a great way to cut the price of an assembly in half. I remember the schools I attended as a kid doing this very thing (before I got pulled out of school that is). Granted we had a bus ride to get there, but it made the assembly all the more exciting to be a part of a much bigger assembly presentation that we otherwise wouldn't have gotten the chance to see.

Read the Fine Print

Always Ask If Their Price Includes Travel

Nothing is worse than hiring a presenter and then finding out after they show up that you're also expected to cover their travel fees. A "cheap" quote that adds travel and fees later isn't actually cheap. Get the full number up front so you're comparing apples to apples. (For the record, my price always includes everything. I refuse to be "that" kind of presenter!)

And finally, it never hurts to ask the presenter you're reaching out to if they can work with your budget and give you a discount. It isn't always guaranteed, but you can always ask!
